The Problem
Ebenezer's hiring events ran on iCIMS CRM and Microsoft Bookings – no interview slots, no reminders, no way to track hires
Hiring events were one of Ebenezer's most effective channels for clinical and resident care talent, but the tooling around them didn't match. The Bookings app couldn't support interview-style scheduling, so candidates arrived without an assigned time and waited. Invitations went out through iCIMS with no automated reminders, leaving the team to chase RSVPs by hand. And because nothing connected a candidate from invite through to hire, the team had no way to measure what an event was actually worth.
Solution with Hellora
Ebenezer ran their September event on Hellora – bookable interview slots, automated reminders, and full RSVP-to-hire tracking
Candidates were invited through Hellora text and email campaigns sent from their recruiter rather than a generic system address, and booked a specific interview slot themselves. Automated reminders confirmed the exact time and asked candidates to arrive ten minutes early.
Every stage – RSVP, attendance, application, hire – tracked back to the event automatically, with no manual reconciliation.
The Results
One 4-hour nursing hiring event produced 42 RSVPs, a 76% show rate, and 15 hires
42 candidates RSVP'd and 32 attended – a 76% show rate, against the 50–60% typical of healthcare hiring events.
40 candidates applied, more than actually attended, because several who RSVP'd but couldn't make the day still applied off the back of the invite. 18 moved into process and 15 were hired – a 37.5% applied-to-hire rate.
All of it from a single 4-hour event, with scheduling, reminders, and hire tracking running automatically.
