The Problem
VNA moved off iCIMS and lost their CRM – leaving 10,000 candidates they could only reach one at a time
When VNA migrated to Apploi, the talent team rebuilt the system themselves, without an implementation partner or dedicated IT support. The migration cost them their resume archive and, more importantly, the CRM layer they had been running campaigns on.
What was left was a clean database of roughly 10,000 candidates and no way to engage them at scale. Running a search returned a list of individual email addresses, so reaching those candidates meant contacting them one by one. For a five-person team, sourcing and outreach competed directly with every other part of the job.
They had looked at standalone sourcing tools before, but each one sat outside the ATS, and none of them stuck. In the meantime, new candidates kept coming from Indeed, LinkedIn, and job boards – while the database they already owned went largely untouched.
Solution with Hellora
Hellora went live on top of Apploi, and VNA's team was running searches and getting replies before their first training session
Rather than starting with new job postings or sourcing spend, VNA's team began with candidates already sitting in their own database. Natural language search replaced manual list-building, and outreach combined email and text in a single sequence, sent from each recruiter's own inbox and number rather than a generic system address.
Adoption was immediate. VNA's sourcing lead was running searches, launching outreach, and fielding candidate replies before the team's formal training session had taken place.
The Results
Within two weeks, VNA reached 300 candidates already in their database, 42% replied – and an RN offer was accepted
Working entirely from candidates VNA already owned, the team activated 300 records in their first two weeks on the platform. 125 replied – a 42% reply rate – at a median reply time of 11 hours. 67 expressed interest and 16 applied.
Inside that same two-week window, VNA had an offer accepted by a registered nurse sourced entirely from their existing database – no job posting, no job board spend, and no new sourcing cost.
With 175 candidates still moving through outreach sequences, these numbers reflect a two-week-old deployment rather than a completed campaign.
